What data do you keep on record?

The platform records only the information needed to deliver and manage training effectively, rather than gathering more than is necessary. At its core, this means basic user details such as a learner’s name and email address, which are used to set up accounts, provide access, and send essential communications like course assignments and reminders.

Alongside these basic details, the platform records learning activity. This includes which courses a learner has been assigned, what they have accessed, and what they have completed, along with assessment results. This is the information that allows administrators to track progress, evidence completion, and identify anyone who may need a little support, so it is central to how the platform actually works.

The important point is that the data we record is purposeful. It is there to run your training and give you the oversight you need, not to collect information for its own sake. Keeping it to what is genuinely required also makes things simpler from a data protection point of view, as there’s less sensitive information being held in the first place.

For organisations with particular requirements, it is worth knowing that the exact setup can be discussed, especially where you may want to add or limit certain fields. This is something we are happy to talk through so the platform fits how your organisation prefers to handle data.

If you would like to go through exactly what is recorded and how it is handled for your organisation, give us a call on 02476 998 1011 and we’ll be glad to help.
